“How much does a WhatsApp chatbot cost?” sounds like a simple question, but the answer has three separate parts: the one-time cost to build it, a monthly platform subscription, and Meta’s charges for each message you send. Most quotes you get only mention one of these. This guide explains all three for India in 2026, shows a worked monthly example for a clinic, and covers how to keep your number from getting blocked.

WhatsApp Business app vs WhatsApp Business API

The free WhatsApp Business app is what most small businesses start with. It gives you a business profile, a catalogue, quick replies and a basic greeting message. It is fine for a shop owner who answers every chat personally.

The WhatsApp Business API (now called the WhatsApp Business Platform) is what you need for a real chatbot. It lets software send and receive messages, so you can:

  • Reply automatically, 24 hours a day, with menus, buttons and forms.
  • Send appointment reminders, order updates and payment links to thousands of people.
  • Let several team members handle chats from one number in a shared inbox.
  • Connect WhatsApp to your CRM, booking system, Shopify or Tally.

Traditionally a number couldn’t be on the API and the WhatsApp Business app at the same time; Meta now supports “coexistence” through many providers, with some limits. Check with your provider.

This is the one-time cost to design the conversations, set up the account and templates, and connect the bot to your other systems.

The budget option works if all you need is a welcome menu and a few fixed answers. The mid-range is where most businesses get real value, because the bot is connected to the systems that hold bookings, orders or leads. AI bots make sense when customers ask many different questions in their own words, such as a coaching institute answering questions about 40 courses, or a manufacturer answering product spec questions.

Be careful with “AI chatbot for ₹25,000” offers. They are usually a general AI model connected with little testing, which can give wrong prices, wrong medical advice or made-up answers. For a business, a wrong answer on WhatsApp is worse than no answer.

Cost 2: The platform (BSP) subscription

Most businesses reach the WhatsApp API through a Business Solution Provider (BSP). The BSP gives you a shared inbox, a template manager, broadcast tools, a flow builder and integrations. Some platforms add a small markup on Meta’s message fees, and many plans are billed quarterly or yearly. When comparing, ask each one for the total cost at your expected message volume, not just the plan price.

You can also connect to Meta’s Cloud API directly without a BSP. There is no platform fee, but you need a developer to build the inbox, templates and reporting yourself. This suits businesses with custom software needs or very high volumes.

Cost 3: Meta’s per-message fees

Meta charges for each template message a business sends. A template is a pre-approved message you send to start a conversation, such as a reminder or an offer. The price depends on the category. The 24-hour customer service window matters a lot. When a customer messages you, you can reply with any message for free for the next 24 hours. Compare that to what one missed appointment costs the clinic. If reminders prevent even a handful of no-shows a month, the running cost pays for itself. The bigger cost is the one-time build, which is why it is worth getting it right once.

Build your own or use a SaaS platform?

There are three common routes. The right one depends on how unique your workflow is.

1. DIY on a platform

Sign up for a BSP, use its flow builder and templates, and set it up yourself. Cost: the subscription plus your time. Good for simple menus, broadcasts and a shared inbox.

2. Platform plus a builder

Use a BSP for the inbox and templates, and have an agency design the flows and connect it to your CRM, booking system or store. Cost: ₹75,000–4 lakh one-time plus the subscription. Good for most clinics, coaching institutes, D2C brands and real estate teams.

3. Custom build on Meta’s Cloud API

Everything is built for you, running on your own accounts. Cost: higher upfront, but no per-seat platform fees and full control. Good for businesses with complex logic, such as dealer-specific pricing and Tally sync for a distributor, or very high message volumes where platform markups add up.

Whichever route you take, make sure the WhatsApp Business account and phone number are registered in your business’s name, not the agency’s.

How to avoid getting your number banned

Meta watches how people react to your messages. If too many people block you or report spam, your quality rating drops, your sending limits are cut, and in bad cases the number is restricted. To stay safe:

  1. Only message people who opted in. Collect clear consent on your website form, at checkout or at the clinic desk. Never upload a bought contact list.
  2. Use the right template category. Do not hide an offer inside a “utility” reminder. Meta may recategorise or reject it.
  3. Keep marketing messages useful and few. One relevant offer a week beats a daily blast.
  4. Make it easy to opt out. Add a “Stop” button. People who can unsubscribe do not need to block you.
  5. Watch your quality rating. Check it in WhatsApp Manager every week. If it turns yellow, slow down and review what you are sending.
  6. Warm up new numbers. New numbers start with lower daily limits. Start with your most engaged contacts and grow volume steadily.
